Meade King have been using Safelink since 2015. In relation to bundle building, Safelink’s automatic indexing and numbering have reduced a process that used to take hours to just a few minutes.
Background
During dispute resolution cases my team are often receiving, sending and reviewing vast quantities of large documents. There is a lot of sharing of confidential and sensitive information between our clients, other solicitors and external consultants or experts. We also structure and organise relevant documents into due diligence bundles, and as part of the trial preparation, court bundles.
The Challenge
Historically we used to share documents via multiple emails in separate zip folders or, if the files were too big to send via email we would send them in the mail via CD or USB stick. As you can imagine this left plenty of potential opportunity for interception of very sensitive documents. It also meant that there was a significant time investment in the collation of the information and a significant delay in the receipt the other side. When it came to building bundles we used to have to print out individual documents and manually assemble them into a paginated and indexed bundle. If there were any last minute changes or new evidence then we would have to completely overhaul the bundle (renumbering pages, manually update the index, reprinting and reassembling).
The Objective
Our objective was two-fold: (1) To find a solution to be able to instantly and securely share large documents and negate the need for document transfer via post and email. (2) To employ a digital solution for the creation of document bundles.
Safelink as the Solution
When we came across Safelink we soon realised that it not only was able to offer us a secure portal for document sharing (accepting large file and folders as well as multiple file types) but it had built-in litigation management features to facilitate document review process and the creation of both electronic and paper bundles with super advanced automatic indexing.
Meade King’s experience using Safelink
We have been using Safelink since 2015 and have around 30 rooms open at any one time. Safelink has enabled us to provide instant access to information in a secure environment. The upload and download is extremely quick. The interface is well laid out and modern and feels very intuitive to use. In relation to bundle building, Safelink’s automatic indexing and numbering have reduced a process that used to take hours to just a few minutes. And on case completion we simply download all documents in the workspace as a zip folder to our own system and delete the Safelink workspace. We don’t just use Safelink for document sharing and dispute resolution; we have also had cause to use it during our accreditation process when we were able to swiftly share information about our proactive and processes with the accreditor, greatly facilitating the process.
Why would you recommend Safelink to others?
Safelink is by far the most superior virtual data room we have encountered and when we are forced to use other Solicitors’ VDRs they are never as easy as Safelink and it is not clear how to download the document. Sometimes you have to download document by document or folder by folder. With Safelink you can download whole folders in a straightforward and quick fashion. Safelink’s look and feel is fresh and modern and its features and capabilities, in terms of automatic indexing and numbering, are both more advanced, and superior, to anything else we have experienced.
